Active Searching

Active Searching allows the user to create and manage searches whose criteria is continuously checked and results offered back in variety of ways.
Candidates, Vacancies, Clients and Contacts can all have Active Searches.

To keep active searches up-to-date when users change criteria, CVs are updated or records are deleted a process runs on the server every X minutes (Normally 30 Minutes).

Example
You could create a Candidate search from a particular Vacancy which automatically alerts you of matching candidates as they are added to the database or become suitable if their record has been amended.

Creation

Create a search in the normal way and set the required criteria, such as key Codes, CV Text, etc.
Check the Active [ ] box at the base of the screen.
Click [Apply]. The Search is now active.
Uncheck the Active box and click [Apply] to stop and active search. 

NB: Optionally this may be ticked by default when a Candidate search is created from a Vacancy. (Parameter Controlled)

Active Search Results

Candidate - Matches Tab - Check Button

Great for a ‘New Candidate’ instant check against current Vacancies

Click [Check] and any Active Searches where the criteria requested on the search matches this Candidate will be displayed. (See Below)
The results grid will be refreshed periodically (5-10 secs) just in case any criteria changes have taken place whilst you were still looking at the results.


Use the ‘Select and Apply to’ palette to tick/cross any of the searches.
Click the [Match] button and the candidate will become Matched to the ticked Jobs/Searches.

Good for a Quick check of what has been triggered in ‘My Active Searches’

The Red lightening strike indicates the active search has been updated and new records have been found/added to the results.


Use the ‘Select and Apply to palette to tick/cross items in the search.

When there are no more new Yellow items left the search reverts back to a Yellow strike.


Searches – General Use

If you are viewing any Search in the search system which is active any automatic suggestions will show as Lightening Strikes to indicate its a system has suggestion.

Configuration / System Setup

There are two parameters which control how the active search system works, and these should be setup to ensure the system operates in the way you want.


Parameter REC_C, Flag(17): Active Searching for Candidates and Vacancies or Daemon
If set to N then active searching is not used at all.
If set to D then the active search runs using a background daemon that periodically (typically 30-60 minutes) checks recent candidates to see if any now match the criteria of all active searches.
Typically this looks at candidates added or edited within the last 10-days, up to a maximum of 5000.


(It is unlikely you will have added more than 5000 candidates to your database within the last 10 days, but these figures can be changed in exceptional circumstances and are controlled by some additional parameters, within the Daemon that runs)


If set to Y then Active Search runs using a background daemon that periodically (typically 30-60 minutes) checks recent candidates to see if any now match the criteria of all active searches. Typically this looks at candidates added or edited within the last 10-days, up to a maximum of 5000


Parameter REC_C, Flag(28): Candidate Search from Vacancy – default to Active
If set to Y then every search that is created from a vacancy will always be ticked as active.
If set to N then users will need to choose for each search.
We recommend the system is set to N, as it may not be necessary to run active searches every time, and it is usually better to allow users to choose if they need to actively continue searching
